Job Description

We are looking for an experienced Receptionist based at our clients Head Office based in Halesowen.

The receptionist will be required to ensure a professional corporate image is portrayed to all internal and external visitors to clients.

Main duties & responsibilities:
• Organise meetings & arrange appropriate refreshments
• Maintain adequate stationery and catering provisions
• Distribute post & correspondence
• Make travel reservations
• Manage the security entry system
• Ensure that all external visitors are logged into and out of the building
• To ensure that the “Welcome” board is accurate and up to date
• Meet and greet visitors in a friendly but professional fashion, register them, and notify the host member of staff and/or accompany visitors to their destination as appropriate
• Maintain online diaries for the booking of meeting rooms and ensure that these areas are checked between meetings and are cleared down/set up as appropriate, in liaison with other admin staff
• Set up in preparation for meetings/training sessions, with glasses, fresh water, and any other items needed. Clear down between meetings. Work with Group IT to set up any technical equipment for meetings
• Provide, prepare & serve suitable refreshments at regular intervals, ordering from external caterers as appropriate
• Report any maintenance problems to ensure that Reception, Meeting Rooms and Facilities are fully functioning; kept clean and tidy (keep a record of faults & actions).
• Answer the telephone in a friendly and efficient manner, ensuring all messages are passed on promptly and monitoring enquires inbox
• Control of stationery and uniform supplies, office products, company literature and refreshments for the building, maintaining an adequate stock of essential items, ordering from approved suppliers on a regular basis.
• Provide efficient and confidential administrative/ad hoc support for any member of the management team who requests assistance, using MS Office for word processing, spreadsheets etc. This will include an element of collating, sorting and filing of “yellows” and maintaining the archive system.
• Ensure that all work is carried out with due regard to health & safety requirements, whilst adhering to all company policies and procedures.
• You will be expected to join the Health and Safety committee and become a First Aider and Fire Warden in the future.
• Any other duties as may be reasonably required.

Working hours at 40 hours per week – 08:30 to 17:00 Monday to Friday.

This is a Temporary to Permanent position which can start immediately.
